Ordering

We try to make the buying process as simple and seamless as possible. Below are answers to some of the questions we’re asked most often:

We certainly do—and we’ve been doing it for over 30 years. Specialty coffee is a cornerstone of Volcafe’s offering. We consistently source an exciting variety of high scoring micro-lots from origin for roasters seeking something truly distinctive.

As the market evolves, we’re adapting too. In the current market we’re focusing on a smaller amount of really special coffees based on seasonal availability. Rest assured, we’ll keep things fresh, flavourful and always interesting!

For delivery, minimum order is one tonne. This roughly equates to 16 bags of 60kg bags.  However, for collection from our warehouse, the minimum order is a single bag upwards. Roasters are more than welcome to arrange their own pick and transport.

Our warehouse is open from 7.30am to 2pm Monday to Friday. Please allow at least 24 hours from ordering to collection.

We can also deliver less than 1 tonne in the Sydney metropolitan area for $80 plus GST

We don’t offer general pricing, as both availability and costs fluctuate daily. Just let us know which origins you’re interested in, and we’ll provide up-to-date pricing tailored to your request.

Please note: all quoted prices are valid until 4:00 PM (AEST) on the day they’re issued.

Absolutely! We’ve always supported small-batch roasters and startup coffee businesses. Our Huntingwood Lab is dedicated to helping you find the right beans and our team are always happy to chat about origins, pricing and availability.

Whether you’re just starting out or scaling up, we’re here to help you source something special.

Getting started is simple. We’ll send you an account application form that covers the essential details our Finance team needs. The form is comprehensive but it’s part of our global financial compliance requirements.

Once we receive it back, we’ll confirm when the account is active and ready for orders.

As per standard industry practice, your first three orders will be on a payment-in-advance basis. After that, we’ll apply to transition your account to 30-day payment terms.

A spot sale refers to purchasing coffee at the current market price, which is quoted daily. Prices are influenced by the exchange rate between the Australian Dollar and the US Dollar, as well as the New York ‘C’ market: the global benchmark for coffee pricing.

When buying on spot, prices may vary from one order to the next. We always keep our roasters informed by providing the spot price at the time of ordering, so you know exactly what you’re paying.

A forward sale – also known as a contract – is an agreement that secures both the price and quantity of coffee a roaster commits to purchase over a set period. Coficom holds the contracted coffee and invoices are issued as the coffee is drawn down.

Forward contracts are ideal for roasters who need to guarantee origin consistency and stable pricing; especially for blends where reliability is key. The minimum commitment for a forward contract is 1 tonne of a specific line.

Please note: contracts are only available to customers trading with us on 30-day payment terms.

Absolutely; this is standard practice for us. We’re happy to build mixed pallets tailored to your needs. Each pallet typically holds 16 x 60kg bags (approximately 1 tonne), layered by origin and securely packed and shrink wrapped for transport.

We accept payment via EFT (Electronic Funds Transfer) or credit card. Please note that we do not accept AMEX or Diners Club. As is standard practice;  a small credit card surcharge applies.

All payments are processed through our West Ryde office. If you’re collecting coffee from the warehouse, please ensure payment is made with enough time for it to clear before pickup.

We welcome home roasters and offer a selection of specialty coffees available in 30kg bags, which many home roasters prefer.

To place an order, we’ll issue an invoice with all the payment details and options. Once payment is received, your coffee will be ready for collection from our warehouse.

We’re happy to provide pricing ex-warehouse Sydney, along with all the necessary export documentation to support your shipment. Please note that freight arrangements are the responsibility of the customer.

Yes, you can. However, if you’re not certified with these organisations, you cannot advertise, label, or use any trademarks or symbols that suggest the coffee is certified.

While our invoices may reference descriptors like Fairtrade, Organic, or Rainforest Alliance, they will not include certification details, and we do not supply certificates to businesses that are not registered with the relevant bodies.

As part of our compliance obligations, any coffee sold to non-certified businesses is recorded as an ‘Uncertified’ sale during annual audits. These organisations are informed of who purchased the coffee, how much was sold, and when.

We strongly encourage reviewing the official websites of these certification bodies to fully understand the requirements for becoming certified.
